Asana helps with project organization. It is clear, increases efficiency and transparency, speeds up communication, helps keep everything in one place, and reduces the number of unnecessary emails. Learn about the basic functions, it won’t take more than 15 minutes.

Structure

Project

Every project has its own special board, which can be displayed in various ways.

We recommend the “Board” view, where you can see everything in clear columns. Tasks can be easily moved between columns by dragging and dropping.

Creating a new project

HOW DO I CREATE A NEW PROJECT?

Simply click on the + button at the top right and fill in the name of the project (we usually use the client’s name). 
 

Tasks

HOW DO I CREATE A NEW TASK?

You can easily create a task on the board of a specific project. Simply click on the + button at the top of the column.

You can also create a task in the same way as a project using the + button in the top right corner. In that case, you will need to specify which project the task belongs to.

WHAT INFORMATION SHOULD I FILL OUT WHEN CREATING A NEW TASK?

You can assign the task to yourself (keyboard shortcut Tab+M) or someone else.

Add a due date for when the task should be completed and enter the assignment and instructions in the description field.

Adding participants to a task

HOW DO I ADD OTHER PARTICIPANTS TO A TASK?

If you want to notify a colleague or reference other people, conversations or tasks, type @ and write their name or email address. Asana will suggest users for you. By tagging someone, you add them to the project. You can also do this by clicking the + sign at the bottom. This will ensure that they receive notifications about new comments, edits, or and attachments.

Communication

HOW DO I COMMUNICATE WITH OTHERS WHEN WORKING ON A TASK?

Use comments for clarifying questions and communication. If you want to let someone know that you’ve read their comment, simply click the thumbs up icon in the top right corner.

You can also attach files to a task. These can be documents, photos, GIFs, or compressed files up to a maximum limit of 100 MB per file. You can also insert a link to Google Drive. 
 

Subtasks

WHAT IF THE TASK IS TOO COMPLEX OR INVOLVES MULTIPLE PEOPLE?

In such cases, use subtasks. You can assign them to a specific person, fill out a separate description, and set a deadline.

My tasks

My Tasks

This is a list of all your tasks. To add a task just for yourself, click on the My Tasks list and start typing. All tasks added this way are private. You can leave them that way or make them visible to others using the “Make public” button.

You can also assign tasks to a project using the “Add to projects” button and then to a specific column. 

Overview

New tasks appear at the top, but you can rearrange them as you like (e.g. by date or priority).

You can also prioritize them using the Today, Upcoming, and Later tabs.

Inbox

The Inbox works similarly to an email inbox. It shows you the latest updates and notifications on changes to tasks, conversations, and projects you’re following and are a part of.

You can easily respond to notifications without leaving the Inbox. Just click on the update tab and everything you need will be displayed on the right. Archiving is used to sort tasks in the Inbox. You can find the task again in the Archive tab.
